How to Calculate How Many Lights You Need for Any Trade Show Booth Size

TL;DR

Use this formula: 1 light per 25–30 sq ft of display area. A 10x10 booth = 3 lights. A 10x20 = 5–6 lights. A 20x20 = 10–12 lights. Always add 1 spare.

Most lighting guides give you a table: 10×10 booth needs 2–4 lights, 10×20 needs 4–6, and so on. These numbers are useful starting points, but they don't account for the variables that actually determine how many lights your specific booth needs. This guide gives you the underlying calculation so you can work out the right number for any booth size, any fixture, and any venue condition.

The Two Variables That Determine Light Quantity

The number of lights you need is determined by two things:

  1. How much light you need on the surface (measured in lux or foot-candles)
  2. How much light each fixture delivers to that surface (determined by lumen output, beam angle, and mounting distance)

Everything else — booth size, graphic type, venue ambient light — affects one or both of these variables.

Target Illuminance for Trade Show Displays

Illuminance is measured in lux (lumens per square meter) or foot-candles (lumens per square foot). Industry standards for trade show and retail display lighting:

How to Calculate Coverage per Fixture

The illuminated area of a single fixture depends on its beam angle and mounting distance from the surface. Use this formula:

Illuminated diameter (m) = 2 × distance (m) × tan(beam angle ÷ 2)

For a 16W fixture with 120° beam angle mounted 0.4m from the graphic surface:

  • Illuminated diameter = 2 × 0.4 × tan(60°) = 2 × 0.4 × 1.732 = 1.39m
  • Illuminated area = π × (0.695)^2 = ~1.5 m²

With 1,600 lumens output and 1.5 m² coverage: ~1,067 lux at the surface — well above the 500–800 lux target for a backwall graphic.

Applying This to Common Booth Sizes

10×10 ft (3×3m) booth with 3m backwall

  • Backwall area: 3m wide × 2.4m tall = 7.2 m²
  • Coverage per fixture at 0.4m distance, 120°: ~1.5 m² per light
  • Lights needed for full coverage: 7.2 ÷ 1.5 = ~5 lights (theoretical)
  • In practice, overlapping coverage means 3 lights achieve adequate illuminance across the full panel

Why the difference? Because the formula gives the area at 50% intensity. The overlap between adjacent lights fills in the gaps, and 500–800 lux is achievable with less than full theoretical coverage.

10×20 ft (3×6m) booth with 6m backwall

  • Backwall area: 6m wide × 2.4m tall = 14.4 m²
  • Lights needed: approximately double the 10×10 setup = 5–6 lights

20×20 ft (6×6m) island booth, four sides

  • Total graphic area: 4 sides × 6m × 2.4m = 57.6 m²
  • Lights needed: 10–12 lights across all four sides

Adjusting for Venue Conditions

The calculations above assume a standard venue with moderate ambient lighting. Adjust as follows:

  • High-ceiling convention centers with dim ambient light — Add 20–30% more lights or use higher-wattage fixtures. Large venues like McCormick Place (Chicago) or ExCeL (London) have very high ceilings and low ambient light levels.
  • Bright outdoor or naturally lit venues — Reduce by 20–30%. In well-lit environments, your booth lighting competes with ambient light less.
  • Dark graphic panels — Dark backgrounds absorb more light. Add 1–2 extra fixtures compared to a light-colored graphic.
  • Fabric backwalls — Fabric absorbs more light than rigid panels. Add 1 extra fixture compared to a rigid graphic of the same size.

Is it better to use fewer high-wattage lights or more low-wattage lights?

More lower-wattage lights generally produce more even illumination with fewer hot spots. A single high-wattage light creates a bright center and dimmer edges. Three lower-wattage lights spaced evenly produce consistent brightness across the full panel. For backwall graphics, even distribution is more important than peak brightness.

How do I know if my booth is bright enough?

The simplest test: stand in the aisle and compare your booth to the ones next to it. Your booth should be visibly brighter than the ambient aisle lighting. If it looks the same brightness as the surrounding area, add more lights. A lux meter (available for under $30) gives you an objective measurement.

Does ceiling height affect how many lights I need?

Ceiling height affects ambient light levels in the venue, not the direct output of your arm lights (which are mounted on your booth frame, not the ceiling). However, venues with very high ceilings tend to have lower ambient light, which means your booth lighting needs to work harder to stand out.
