Send a clear project brief
Include the venue and country, installation date, quantities, frame dimensions and photos, lighting targets, supply voltage, frequency and outlet type. Ask the organizer which documents and installation methods it accepts. Send the same brief to each supplier and request model numbers, included clamps and cables, and sample availability.
Check documents for the selected model

A frame brand name alone does not prove compatibility. Confirm any custom design and the exact supplied configuration in writing.
Get a complete delivery quote
Separate production, dispatch, transport, clearance and delivery to the agreed address. Ask for a realistic arrival date with time to test before installation. Confirm stock, packing quantities, minimum order, shipping charges, duties and taxes, and who handles clearance. Generic sea or air transit times cannot establish the arrival date for your order.
Agree on support before payment
Record the product’s warranty terms, exclusions, return procedure, freight responsibility and availability of compatible spares. A local supplier’s faster replacement service may matter more than a lower initial price. Keep the quote and agreed acceptance criteria.
