Trade show lighting rules are event-specific and can change. Use this guide to identify what to verify, then follow the latest exhibitor manual and written instructions for your show.
Start with the event, not the venue
The same convention center can host events with different contractors, deadlines and operating rules. The current exhibitor manual, service kit and official bulletins are the primary sources for your setup.
Identify who controls each decision
The organizer, venue, general services contractor, electrical contractor, rigging provider and fire authority may control different parts of the booth. Ask the party named in the event manual when a requirement is unclear.
Classify the lighting installation
A plug-in arm light, a battery light, a hardwired fixture, lighting attached to booth structure and overhead rigging are not the same installation. Confirm the category for the exact fixture, mounting method and power arrangement you will use.
Verify the exact product configuration
Keep the model label, power-supply details and available safety documentation for the exact light you are bringing. Approval of one model or power supply should not be assumed to cover a different configuration.
Check power, cables and placement
Confirm how venue power must be ordered, who may make connections, permitted loads, extension-cord or power-strip rules, cable routing and whether lights must remain inside the contracted booth area.
Treat batteries and charging separately
Battery power does not automatically bypass event rules. Verify battery chemistry and capacity, transport requirements, charging location, spare-battery storage and any fire-safety restrictions.
Get answers before shipping
Download the latest manual, submit product-specific questions in writing and keep the reply with your booth documents. Named-venue examples from another event are useful context, not permission for your event.
